Test Proctoring

To facilitate finding secure testing environments, the UT TeleCampus has established guidelines and procedures by which students enrolled in courses through the UT TeleCampus may take proctored examinations. Instructors determine whether proctored examinations are required for their course.

After careful review of these guidelines, questions regarding test proctoring may be directed to Student and Faculty Services at 1-888-TEXAS 16 or telecampus@utsystem.edu.

Policy Statement

Evidence of scholastic dishonesty related to examinations in a UT TeleCampus course may result in a grade of "F" on the examination and an "F" in the course. In this regard, scholastic dishonesty includes, but is not limited to:

  • copying from another student's exam;
  • using materials not authorized by the professor;
  • possessing materials such as lessons, books, or notes which are not authorized by the professor;
  • knowingly using or soliciting in whole or part the contents of an unadministered test;
  • collaborating with or seeking aid from another person during the test without authority;
  • substituting for another person, or permitting another person to substitute for one's self, to take a test.
Finding a Proctor

Proctored exams must be taken and supervised at an official testing center at an accredited community college, college or university at the student’s expense.

Guidelines for Supporting Proctored Examinations

Purpose: To establish a process and guidelines by which students enrolled in distance education courses through the UT TeleCampus may take proctored examinations as designated by the instructor. Participants included in these guidelines are the instructor, TeleCampus staff, the student and the proctor. Students should be familiar with each participant's role in this process. Individual responsibilities of each participant are described below.

Instructor responsibilities

  • Include information in the UTTC Bookstore informing students that tests will be administered by proctor, and that the student will incur additional fees for proctor services.
  • Include information in the course syllabus to inform students:

that proctoring will be used;
the specific deadline for taking each proctored exam;
the date by which students must have sent their proctor choice to UTTC;
of the link to the proctor information page on the UTTC website; and
that the student will incur extra expense in proctor fees for each proctored exam.

TeleCampus responsibilities

  • Arrange for up to two proctored tests per course per semester for faculty requesting proctor services, including advising students on acceptable arrangements for exam proctoring; receiving and vetting student's proctor choice; copying exam and distributing to proctor with other proctoring materials.
  • Inform instructor of student proctor choices.
  • Notify instructor if the exam procedure has been compromised.

Student responsibilities

  • Learn whether proctored tests will be used in a course by reviewing the instructor notes section of the UTTC Booklist where instructors advise students of additional course costs, such as proctoring, and/or in the syllabus for your course.
  • Carefully review the course syllabus and course announcements to learn of firm deadlines for when a proctor choice MUST be submitted to UTTC.
  • Access and review the UT TeleCampus webpage for proctoring information.
  • Make arrangements through an official testing center with a proctor at an accredited community college, college or university’s testing center.   • Submit your choice of proctor for approval at least four weeks prior to the exam date to telecampus@utsystem.edu by copying and pasting the table below into an email and then adding the appropriate information in each field of the table before sending your email.

  • Pay any testing fees to the testing center, if applicable.
  • Read, sign, and return the Policy Statement (sent by UTTC to the testing center) to the proctor at time of exam.
  • Take the exam during the pre-arranged time.

Note: If a student fails to follow these guidelines, she/he will be required to take the exam at the time arranged by the faculty for on-campus testing.

Note: The student may choose to request approval for the two proctored exams in one email request sent four weeks in advance of the first exam, or may send two emails, each sent four weeks in advance of the exam.

Note: If there is a problem with your proctor selection, you will be notified within one week of submitting your proctor selection. Otherwise, you will be notified within two weeks after the deadline to submit your proctor request that your proctor choice has been approved.

Proctor responsibilities

  • Confirm the arrangements with the student.
  • Receive the exam from UT TeleCampus and keep it in a secure place.
  • Contact UT TeleCampus with any concerns about the exam materials arrival or content by calling 1-888-TEXAS16.
  • Supervise the student taking the exam. This supervision includes: following all exam instructions; identifying the student with a photo ID; having the student sign the Policy Statement; and completing the Certificate of Supervision.
  • Terminate the exam if the testing procedure is compromised due to the student's improper conduct. Notify the UT TeleCampus at 1-888-TEXAS16 and telecampus@utsystem.edu immediately.
  • Judge whether or not an exam should be terminated based on extreme testing environment irregularities, that are not resolvable, such as the room is too hot or cold or too noisy. If the student wishes to continue with the exam, allow this, but write an explanation of the situation on the Certificate of Supervision.
  • Return examinations, signed Policy Statements, and signed Certificates of Supervision to the UT TeleCampus in the pre-addressed envelope provided.
